Emails may be marked as spam due to:
- Missing or incorrect SPF, DKIM or DMARC records
- New or low-reputation domains
- Suspicious email content
- Sending large volumes of email
- Forwarding through external providers
Multiple factors are usually involved.
Check Email Authentication First #
Correct authentication is essential.
Verify that:
- SPF record exists and is correct
- DKIM is enabled and valid
- DMARC record is present
These can be checked in cPanel under Email Deliverability.
Content-Related Causes #
Email content may trigger spam filters if it:
- Uses misleading subject lines
- Contains excessive links or images
- Includes spam-like keywords
- Uses poor formatting or HTML errors
Simple and clear messages are more trusted.
Sender Reputation and History #
New domains:
- Have no sending reputation
- Are more likely to be filtered initially
Reputation improves over time with:
- Consistent sending
- Low complaint rates
- Proper authentication
This process cannot be rushed.
Forwarding and Spam Filtering #
Forwarded emails:
- Are more likely to be marked as spam
- May fail SPF checks at the final destination
Direct delivery is always more reliable than forwarding.
Recipient-Side Filtering #
Spam decisions are made by:
- Gmail
- Outlook
- Yahoo
- Other providers
ProRedLine cannot override recipient spam filters.
What You Can Do #
To improve delivery:
- Verify SPF, DKIM and DMARC
- Avoid bulk sending
- Use clear sender information
- Ask recipients to mark emails as not spam
- Avoid forwarding when possible
Consistency matters more than volume.
What You Should Not Do #
Do not:
- Remove authentication records
- Repeatedly resend failed messages
- Send test emails in bulk
- Change DNS records too frequently
These actions can worsen reputation.
Testing and Monitoring #
After changes:
- Allow time for DNS propagation
- Send test emails to different providers
- Monitor feedback over several days
Immediate results are unlikely.
